Physical Sciences Inc., a 100% employee-owned company located in Andover, MA, seeks an experienced, detail-oriented Payroll Administrator who will be responsible for all aspects of the corporate and subsidiary payroll function.  This position requires accuracy, integrity, and timeliness of the payroll cycle.  Duties will include processing payroll, reconciling ADP to the general ledger, and preparing payroll journal entries.  In addition, the Payroll Administrator position will provide support with retirement plan administration and audits. The individual in this role must work effectively and discreetly with sensitive and private information.

Payroll duties initially include:

  • Calculate, process and reconcile multi-state payroll
  • Ensure federal, state and local tax compliance
  • Resolve payroll and payroll tax issues as needed
  • Maintain employee and payroll records
  • Process manual and special payroll checks as needed
  • Reconcile, validate and distribute W2 forms annually
  • Work closely with Human Resources to track family medical and disability leave
  • Assist in various annual audits
  • Act as the point of contact for employee payroll related inquiries

Additional duties, which involve supporting the Director of Finance and Administration on retirement plan benefit administration, include:

  • ESOP (Employee Stock Ownership Plan) and 401(k) administrative assistance
  • Maintain Telescope® ESOP repurchase obligation software and assist in studies / projections
  • Provide spreadsheet maintenance pertaining to employee census, tracking hours worked, etc.
  • Assist in retirement plan audits
  • Track 401(k) catch-up contributions and deferral limits
  • Process employee 401(k) deferrals and loans through Fidelity Investments
  • Provide ad hoc spreadsheets and reporting

The candidate we seek should have an AS Degree (or equivalent experience) in Accounting, Business Administration, or similar discipline, 5+ years of directly related payroll experience and relevant knowledge of applicable payroll related laws and regulations.  Excellent verbal and written communication skills are a must.  ADP experience is required.  Knowledge of Deltek Costpoint is a plus, but not necessary.
